I went with some friends to the Sinkhole Saloon across from the motel and next to the bowling alley last Fri night. I like the place. It has some decent beers on tap as well. Not over the top, but cozy and accommodating.

I saw the meeting room in the alley, it is right across from the bar in the hallway and is not too big, but it may work if we also bleed into the bar.

Sinkhole Saloon looks awesome.

It says on thier website that they do parties. Will they work with us to create a fixed menu? Somehting like, fixed $20 a plate - limited menu options? This way we could roll Sat Night dinner into event costs and add perceived value to the event.

I went to the Saloon and had a beer while talking to the bartender about options. He is going to coordinate with the alley chick and get details to us. The bar is very chick friendly and has a decent beer selection. He said it would be fine for us to have the food in the conference room with out being confined there ourselves (until they meet us wink.gif ). He said if we have to we can do multiple single checks, but of course we would like to avoid this I think.
What food level will we want? i.e. chicken fingers, wings, other bar food, or something a little fancier? I have them looking into both options. I am wanting some BBQ type thing chowtime.gif

Nice work Doc. My vote is something like dinner food. Limited choices or buffet style. That way we don't have to hassle over who gets what.

This is one of the very few things that will fall under the "event fee " heading. If what the bar/alley offer sounds good to you, get a price and terms.

I'm out of here for a few days. I have several reports due on some large losses with several coverage issues. I'm not much help anyway at this point.

OK, I FINALLY got a hold of Amy at the alley. She has an idea of what we are looking for. I told her easy it better and she mentioned a $10/person ball park. She is going to email me in a few minutes with the details and I will post them here.

Great talking with you today. I need a few more items:

What time where you anticipating being here?

What time did you want the food available?

What food option would you like?

Are you interested in bowling, if we have the lanes available? That can be
a pay as they go type deal. They can sign up and just pay that night if
they bowl or we can include it in the price. Bowling is $10 per person for
two games and shoes, with a meal package.

Attached is the contract I sent you a few weeks ago. Also attached is
buffet menu with prices and food options.

Let me know if there is anything else I can do for you.

"Dear Mike,
Per our conversations, here is a proposal for your group’s social function on Sat, April 25, 2009 from _____ pm to approximately _____ pm.
There will be approximately ___ people in attendance. Due to a large tournament we host, I am not sure if we will have bowling lanes available or not. I will know that after March 1, 2009. A final count, for food, will be needed by April 18, 2009.
Each person will bowl approximately two-three games. The bowlers will be divided into groups of four.
Prior to your arrival, we will set up Party Rooms to serve your meal. There are approximately 40 seats available in the room. Food will be available from __pm – __pm. Unlimited soda and coffee will be available from the bar or snack bar during your entire visit. We will provide all the necessary tableware.
For group parties we can run a tab for alcoholic beverages, or the group’s guests can purchase their own. Per our conversations, your guests will be responsible for any alcoholic beverages they may acquire. Alcoholic beverages will be your guests responsibility.
The menu(s) for to choose from:
All menus are served proportioned to the number of attendees, not all-u-can eat
Any extra food requested will be added to the master bill, per your approval only.
Time line of events:

__pm – __pm – Bowling (If available)
The price for
- Use of the Party Room for __ hours
- Food as stated above

Here's my vote. Have a 30.00 up front charge to cover meals and appetizers. I say if some want to bowl and they have the lanes available we can always do that on our own dime. I say all alcohol is strickely buy your own. Add some money to cover the swap meet space where we can all hang out and any unforseen costs and git R dun. Say, $50.00 total. Forrest is in line to finish the attendance form and get it posted on the site. This could be the cheapest event ever.

Pick what ever you want for the appetizers and dinner selection and call it good. The attendance form will need to have the cut off date listed on the offer from the bowling alley. It doesn't look like they are looking for any up front money.

Mike did they require a credit card to hold the room or will they accept payment on or around the cut off date listed on their offer? The reason I'm asking is if they are fine with waiting til their cut off date we will have a chance to collect money up front to cover the thing.

What are we missing?

I have the food figured out, 5 appetizers, prime rib, chicken, and sides, dessert. I need a start time and I can send this in. Cost is $21 pp according to the menu smile.gif

no, $30 a head is golden, and gives us a nice cushion.

$21 + 6% tax +20% tip = $26.46 (or $3.54 cushion per person). This would allow 1 "suprise (unregistered)" person in for every 6 paying guests - which we have to account for.

I'll use $30 in my cost calculations.

What time does Hershey Swap close?
How much time will it take us to tear down? (30 minutes?)
How much time will it take us to get there? (20 minutes in traffic?)
Do we need to give people time to piss, shower, or change clothes? (30 minutes?)

Thats what time we should reserve the room.
