People saying they are interested in buying a shirt is one thing.
People actually forking over the cash is another.
The box on the registration was only a guide.
I would hate to see us stuck with a bunch of expensive embroidered shop rags.
We have seen what can happen with the window stickers.

If we are going to sell them we should follow the successful example of the hats.
Take pre-paid orders and produce what has been sold.

Everyone on the planning committee please add your comments.
We need to move on this quickly if we are going to offer polos.

Ok, lets get some facts on the table please, so we know what we are talking about...
(everybody, please correct me where I'm wrong!)

Rallye Shield budget (from registration fees) $10 x 60 cars = $600
Sponsor money $900 (not counting the sponsored goodies, we can't pay shirts etc. from that)
Total budget available $1500

Costs...
Rallye Shields $300 (actually $400, but like I said, only if there's enuf budget)
T-shirts $800 (150 printed in 2 colors front and back)
Total costs $1100 (or $1200 see note above)

So, basically, we have $300 to spare right now (IMG:style_emoticons/default/smilie_pokal.gif)

Raffle tickets...
How are we gonna handle that???
Do people need to buy the raffle tickets (generates money)
Or are we gonna just distribute these for free among the participants (they could be included into the goodie bags)
(personally, I vote for the last option)

Now look at what we are offering the participants!!!
- rallye shield
- event t-shirt
- GPR t-shirt
- a shit load of raffled goodies
- 28 custom made trophies
- SWBY sponsored goodies
- breakfast
- box lunch
- farewell BBQ
- a unique and action packed 3 day event

In other words, people are gonna get one hell of a lot for their registration fee!!!

In all fairness, I say lets do the t-shirts and call it a day
I'd like to do the polo's just as much as any of you guys, but we are running out of time fast
And we are still on the positive side of the money scale (I'm sure we're gonna need some of that for unexpected costs etc.)

Last workable option I see for the polo's is that we take orders for them AT the event.
We could include an order form in the goodies bag
People pay for what they order at the event.
We have the cash in hand, and have them made AFTER the event and ship them off
No risks involved what so ever

I have just reviewed all discussions about the T-Shirts Sponsors and Trophys, with the following detail to add:

Income budgets:

$600 Rally Shields ($10 per registration)
$400 Trophys ($7 per registration)
$900 Sponsorships (Promised, not yet received)
$1900 Total projected income

Expenses:

$400 Rallye Shields
$600? Trophys (No final cost yet...$24/trophy + plaque cost)
$1000 total projected costs (for these items only)

So we should have about $900 remaining for Sponsor T-shirts. Lets finalize the artwork for them and get them completed and delivered. I agree that we won't sell that many polos if these other shirts (GPRs plus the sponsor shirts) are free/included. I like and support the idea of taking orders/payments at the WCC for Polos, or hats, or...a display mock-up could be made up to help promote? John if you were to do this, all costs/proceeds go to you.

On the raffle, I had just planned to pull car numbers of paid principal registrants from a hat to award the raffle parts, no additional cost for the raffle tickets.

The former Farewell BBQ is now the Farewell party, but a meal is not included in the registration cost, just to clarify. It was decided a long time ago to have people just buy food independently from the on-site food vendor at PartsHeaven or people could also go to local restaurants.

This has been a great ride everyone...we cant do everything this year. All registrations still have not arrived and sponsor money has only been promised, not yet received, but I am hopeful it will all come together. Everyone has been so extremely helpful and has jumped in and helped out tremendously. As Jeroen pointed out, look at all we have done in under 3 months. For next years WCC 2005, we will start earlier and be even better. (IMG:style_emoticons/default/smile.gif)

Here is the onfo I have from the registrations submitted so far on the shirt sizes and quantities, use it as a guide only. I would say we dont need more than say 65 spoonsor T-shirts:

I have started a thread on the BBS for people who may want to order an embroidered polo shirt.

Have the sponsor T-shirt order been placed? Is Sean coordinating these or???

Jeroen, if you have the artwork with each of the sponsors logos, can you email it to me please? I would like to include the sponsors logos in the event brochure materials.

Without a committment from them I would not include them on the shirt. Sean did say he would be extremely busy starting yeaterday, I hope that is not a problem.

We can always insert flyers in the event brochure and give them verbal promotion.

Best if Sean can do this since he has some real contacts.

However, if we need to, this should be easy to do. I did a quick lookup online and found this place which seems pretty good:

I did an online quote with them. With Haynes Beefy T shirts (best quality) with 2 color front and 1 color rear printing and quantities as Jeff provided (86 shirts of various sizes), the total comes out to $653 (that's $7.60 each). We can reduce that by about $40 if we include their logo on our shirt (might as well). That price includes shipping and I'm assuming there will be no sales tax. They guarantee delivery in 2 weeks.

I'm sure there are probably cheaper sources as well. I didn't really shop around.

It's an option. I can pursue this if Sean cannot do the shirts. We probably need to have orders placed by this weekend either way.

I just got a response from my vendor. Their price was virtually the same as Demick's quote. I have approached them with the offer of sponsorship of $100 to add their logo. I think it's funny that you posted that same kind of deal Demick. Are we all cheap? Or do we just like to spend money on parts and not other stuff.

I'll post her answer along with a total price including shipping (they are in the Bay area which helps).
Also, will need to know if there are any XXL requested as there is an upcharge of $2 each for those.
