I never mentioned anything about a shirt to him, this was his idea of contributing/sponsoring

50 reg. x $10 = $500 that we can now use for other purposes (after all, the rallye shields are sponsored/payed for)

We could use these $500 to pay for the shirts instead. We would still need an aditional $300 to cover the shirts, but I'm 100% sure we will get more than that from the sponsors that were "left out" of the rallye shield deal

You are the only one who has a good overall insight on the $$$

Also, IIRC the quote for the t-shirts was for a 3 color print
We only need a 2 color, so that should be a bit cheaper, right?

Sean - The price from my source for 100 embroidered polos is $1,171.00 including shipping.

Jeroen - Can you please make 2 minor changes to the logo art so we are ready to go as soon as we get Sean's quote.
1.) remove to small 1 in the top right corner as well as the bar code at the bottom.
2.) add 914 Club.com at the bottom.

I can do it, but I know you can do it better.
Something like this attachment.

If anybody has any comments - please speak up.
Our final decision will need to be made by the end of this week.

I'm confused on the shirts at this point.

It currently sounds like we are going forward with the polo style shirt. But this shirt does not have the ability to put a sponsor on it (except maybe one sponsor on the sleeve). Yet we keep talking about sponsors covering at least part of the cost of the shirts.

We have also talked about a t-shirt which would be sponsor paid for and their logos would be on the back. Sounds like we are not pursuing this one currently?

I can't seem to keep up with it. Can someone summarize where we are with the shirts?

We need to do the t-shirt with the sponsors printed on the back first
This shirt will attract sponsors and bring in the cash
This shirt would be free for each registration

If we do the polo's, these would be sold to the participants
Many have already shown interest on the registration form

But once again, we need to do the sponsor t-shirts FIRST

Sean and Jeroen, I am confused about the status of the shirts, can we have an update?

My understanding is that GPR is sending T-shirts for each attendee. I am guessing that they will be GPR shirts, with their logo or parts they offer. Those will be nice for each of the goodie bags.

Do we also have WCC event shirts either Ts or Polos? I was under the impression that the $$$ generated from sponsors will pay for the rallye sheilds and WCC T-shirts.

Let me know where we stand...thanks!

I have no update. I was asked by John to get a quote for polo shirts, still waiting for my vendor to reply.

That was the last I knew of. It seems like GPR is providing their own shirts. I don't have anything going with T-shirts right now.

Ok, here's the deal...

GPR is sending 65 GPR-shirts (to be added to the goodie bags)
In return, we put the GPR logo on the EVENT-shirts

These will have to be t-shirts, not polo's (the polo's are embroided and therefore can't have the sponsors on the back)
These t-shirts will be free (1 shirt per registered car - payed for by the sponsors and the registration fees)

We need to get going on the event shirts.
We need to start collecting/making the logo's for the t-shirt design.
I already have quite a few and I know Sean has some as well.
I'll do an inventory of what we have and still need a.s.a.p.

We have less than 4 weeks before the event, and I don't know how long it will take to have the t-shirts printed...

I suggest we finalize the t-shirt design before the weekend so we can send it off to the printer

Jeff, can you get on Brad's ass for the logo's from Smart Racing and Jerry Woods please
Sean and I can handle the rest of them between the two of us

I would like to do the embroided polo's as well, but I doubt we have a budget for those right now

Can we do the embroidered polo shirts on a pre-paid for order basis? We could post a thread on the public BBS and let people know that there will be sponsor t-shirts as part of the goodie bag. We would ask for people to reply if they were interested in purchasing an embroidered polo also and take firm reservations.

I have not yet received a price quote from Seans source. (I think the break point is if we need 60+ shirts his guy may be cheaper.) I can get them done for @ $12 each and there is no minimum order. If I get the order in by early next week it should not be a problem to have them done in time.

Do we want to sell them for $15 or $20 each? Do we need a little extra money for something? Or do we have the funds to subsidise the embroidered polos and sell them for $10?

Is the design I post above OK with everyone?

What about color (natural or ash) and material (100% cotton or 50/50)?
We can mix and match but I think they should all be the same.

Time is running out. We need to get the order in early next week.

I have posted a message for Brad re: the logos, he hasnt responded to my phone call or emails re: registration, but I see him post on the main BBS occassionally. Hopefully this will reach him and he will respond. If not, can we just clip graphics from the sponsors webpages? For sponsors like Engman...why not just type in a lettered text 'Engman' for him? We should not let anyone hold us up.

We had $10 in the reg fees for the Rallye shields, which cost is now covered by the sponsors (right Jeroen?). I have only receioved funds from Mueller to date, and confirmation that Camp914 and Jake are sending payment. I assume the others are forthcoming.

So we have theat money we can apply to shirts, but everyone registered is expecting to pay extra for shirts 'if they are available'. we have a solid 100 'orders' for shirts on the Reg forms. I say we order the shirts, sell them at the meet for cost plus a small margin. maybe ~$15 each round numbers to make it easy.

after the dust settles, I will tabulate the full costs for everything and anticipate refunding unused costs to registered attendees as appropriate.

If that works...can John / Sean decide amongst you who should order what? I will forward payment from the Reg fees, and collections come to me for final accounting.

Mark & I have been playing with parts, I'll ask him about a logo and report back to the class. I am going to be extremely busy for the rest of the month starting monday. I will be out of town from the 19th - 24th or 25th, too.

People saying they are interested in buying a shirt is one thing.
People actually forking over the cash is another.
The box on the registration was only a guide.
I would hate to see us stuck with a bunch of expensive embroidered shop rags.
We have seen what can happen with the window stickers.

If we are going to sell them we should follow the successful example of the hats.
Take pre-paid orders and produce what has been sold.

Everyone on the planning committee please add your comments.
We need to move on this quickly if we are going to offer polos.

I can't finance them! Do it the polos as a pre-order. Next year plan ahead. Time is too short. We'll get burned.

Ok, lets get some facts on the table please, so we know what we are talking about...
(everybody, please correct me where I'm wrong!)

Rallye Shield budget (from registration fees) $10 x 60 cars = $600
Sponsor money $900 (not counting the sponsored goodies, we can't pay shirts etc. from that)
Total budget available $1500

Costs...
Rallye Shields $300 (actually $400, but like I said, only if there's enuf budget)
T-shirts $800 (150 printed in 2 colors front and back)
Total costs $1100 (or $1200 see note above)

So, basically, we have $300 to spare right now smilie_pokal.gif

Raffle tickets...
How are we gonna handle that???
Do people need to buy the raffle tickets (generates money)
Or are we gonna just distribute these for free among the participants (they could be included into the goodie bags)
(personally, I vote for the last option)

Now look at what we are offering the participants!!!
- rallye shield
- event t-shirt
- GPR t-shirt
- a shit load of raffled goodies
- 28 custom made trophies
- SWBY sponsored goodies
- breakfast
- box lunch
- farewell BBQ
- a unique and action packed 3 day event

In other words, people are gonna get one hell of a lot for their registration fee!!!

In all fairness, I say lets do the t-shirts and call it a day
I'd like to do the polo's just as much as any of you guys, but we are running out of time fast
And we are still on the positive side of the money scale (I'm sure we're gonna need some of that for unexpected costs etc.)

Last workable option I see for the polo's is that we take orders for them AT the event.
We could include an order form in the goodies bag
People pay for what they order at the event.
We have the cash in hand, and have them made AFTER the event and ship them off
No risks involved what so ever

I have just reviewed all discussions about the T-Shirts Sponsors and Trophys, with the following detail to add:

Income budgets:

$600 Rally Shields ($10 per registration)
$400 Trophys ($7 per registration)
$900 Sponsorships (Promised, not yet received)
$1900 Total projected income

Expenses:

$400 Rallye Shields
$600? Trophys (No final cost yet...$24/trophy + plaque cost)
$1000 total projected costs (for these items only)

So we should have about $900 remaining for Sponsor T-shirts. Lets finalize the artwork for them and get them completed and delivered. I agree that we won't sell that many polos if these other shirts (GPRs plus the sponsor shirts) are free/included. I like and support the idea of taking orders/payments at the WCC for Polos, or hats, or...a display mock-up could be made up to help promote? John if you were to do this, all costs/proceeds go to you.

On the raffle, I had just planned to pull car numbers of paid principal registrants from a hat to award the raffle parts, no additional cost for the raffle tickets.

The former Farewell BBQ is now the Farewell party, but a meal is not included in the registration cost, just to clarify. It was decided a long time ago to have people just buy food independently from the on-site food vendor at PartsHeaven or people could also go to local restaurants.

This has been a great ride everyone...we cant do everything this year. All registrations still have not arrived and sponsor money has only been promised, not yet received, but I am hopeful it will all come together. Everyone has been so extremely helpful and has jumped in and helped out tremendously. As Jeroen pointed out, look at all we have done in under 3 months. For next years WCC 2005, we will start earlier and be even better. smile.gif

Here is the onfo I have from the registrations submitted so far on the shirt sizes and quantities, use it as a guide only. I would say we dont need more than say 65 spoonsor T-shirts:

Without a committment from them I would not include them on the shirt. Sean did say he would be extremely busy starting yeaterday, I hope that is not a problem.

We can always insert flyers in the event brochure and give them verbal promotion.

However, if we need to, this should be easy to do. I did a quick lookup online and found this place which seems pretty good:

I did an online quote with them. With Haynes Beefy T shirts (best quality) with 2 color front and 1 color rear printing and quantities as Jeff provided (86 shirts of various sizes), the total comes out to $653 (that's $7.60 each). We can reduce that by about $40 if we include their logo on our shirt (might as well). That price includes shipping and I'm assuming there will be no sales tax. They guarantee delivery in 2 weeks.

I'm sure there are probably cheaper sources as well. I didn't really shop around.

It's an option. I can pursue this if Sean cannot do the shirts. We probably need to have orders placed by this weekend either way.

I just got a response from my vendor. Their price was virtually the same as Demick's quote. I have approached them with the offer of sponsorship of $100 to add their logo. I think it's funny that you posted that same kind of deal Demick. Are we all cheap? Or do we just like to spend money on parts and not other stuff.

I'll post her answer along with a total price including shipping (they are in the Bay area which helps).
Also, will need to know if there are any XXL requested as there is an upcharge of $2 each for those.
