Thought we should start throwing around ideas for events at WCR...a meet and greet thursday night is a given, as is a couple drives but maybe we could discuss other event possibilities.

I had a thought of maybe some sort of tech sessions from our resident experts? I know we would be limited but maybe we could put our heads together of common repairs/upgrades that someone could do a step by step of what is involved? Maybe a brake caliper break down and assemble?

Any other ideas?
McMark
Tech sessions would be good. I'm sure we could source a couple folding tables to 'present' on. idea.gif

Thursday: Arrive-Meet-N-Greet
Friday: Drive (gotta think about group pictures on the drive or at the hotel). Parking lot games?
Saturday: Show-N-Shine then optional Tech Sessions or Another Small Drive. Awards dinner (pizza place?)
Sunday:
ConeDodger
I notice and Michael Nagy mentioned that the hotel has a comedy club. Some interest has been expressed in going to the comedy club. We should consider this and see if we can get a group in. Maybe not so much at a discounted rate but at least a group reservation.

Thursday night reception should include a beer and brat party on the roof of the parking ramp. Just FYI, I still have a boat load of paper plates and plastic spoons from the Beer and Brat Party I did for PCA a few years back. Basically, we need brats and buns, potato salad, chips, beer. Oh, and if I am cooking - barf bags wink.gif

I will be in Tahoe this weekend...is there anything we need to check out physically that I could do?

I will try and scope out a place or two for the "formal" dinner to see if we can nail that down. We should also have a trivia championship at the dinner.

Where the heck is Randy?! Didn't he give us crap for not responding quick enough in another thread?!?!:)

Randy had a little car disaster and is dealing with that and life I am sure... Check the comedy club in the hotel and see what size group we can fit. Check with the desk that arranges outings. See what else we can offer and maybe get web address so people can arrange their own entertainment off the clock so to speak. That zip line at Heavenly looks cool. Find out what that costs. Have fun biggrin.gif

I'm here! I responded to the main thread yesterday and it's only been a day since the start of this this thread. Doing what I can! Actually starting to look for a new job too. That combined with a garage full of broken 914s is keeping me busy at the moment.

Friday - long drive.
Sat - shorter drive. I think it would be good to at least go partially up the west side of the lake, get the classic emerald bay views, etc. There's actually a Swiss-German restaurant up that way. Ah, here it is:
http://www.yelp.com/biz/swiss-lakewood-res...-lodge-homewood

Actually, maybe the drive on Friday could end here. What do you guys think?

There are gondola rides up to the top of the ridge right from the stateline area of tahoe (pricey, but highly recommended. We did it, loved it). Then there's the zip lines. Wow! Golf, though that would be hard to make a group event.

How long of a drive is too long for Friday? I can get a little carried away, and I know some people will have just showed up that morning. I've gone to some events where the drives are just an hour (BLAH) while I'm into the three+ hour long drives. That's just me though.

Ok, that's my crazy brain storm for the evening.
biosurfer1
Well it's too bad the event wasn't this past weekend because it was beautiful in Tahoe. No wind, blue skies and upwards of 50.

Anyways, I had a chance take a look at some of the options we discussed while I was there.

The Gondola is $30/person and they did not have any group discounts that I could find. The zip line is also $30 and they do have group discounts depending on the size of the group, however you have to get up there to ride, so Gondola+Zip Line=~$60/person.

The Improv Comedy Club at Harvey's seems to be very hit or miss if they have anything going on. The calender of events didn't go out far enough to check and the only thing listed on their website is Louie Anderson ($30) on the 15th, but thats at the South Shore Room. The girl working box office had no clue about group rates and of course, no manager was there at the time.

None of the other places have comedy clubs but they could have an event or show, depending on their calender. Seems like we need to get closer to the event to see what they will have for us to do.

I think if we get a hard head count of people attending, it might be easier. I'll try to make a post when I get home since it's hard to weed through the posts in the main thread on who's going and how many.

I did happen across a sad 914 while there. It's in a lot right where 89/50 meet up, looks to be a multiple colors and covered in snow. Didn't have a chance to get VIN info but I'm sure it will still be there when we go, a friend said it has been there for years!
ConeDodger
Great recon Brett! I think it would be a good idea to get the principals together this weekend at the SPFR. We need to get some details ironed out and divide some key duties.

Louie Anderson is a Minnesota comic that I have seen before. He basically just does growing up fat jokes.

FYI, I probably wont be at the reunion until 11ish and plan on heading out to Autorama afterwards

Mark will be there, Randy will not. I haven't heard from Jim recently but he sometimes goes underground when they have a release at work.

Bring Justin, I need to talk to him about flares.

Yeah, sorry! The plan was to go, but my brother is having his third-level black belt promotion that day and it's become big family event.

Any chance we can all meet in Sonoma or Napa sometime soon? Over beer? smile.gif

I have an idea Randy... I am hoping some decisions can be made and we can go forward with opening up registration and such. Can we text you? How are your thumbs?
RoadGlue
Yeah, by all means txt and/or call me. smile.gif Thanks!! 707.529.7860

Got it. My subscription to this thread is hit or miss. Not sure when you posted this but I got no notice...
McMark
I'll give you one clue... lol-2.gif
McMark
Here's a something we should be able to nail down...Should we 'hold off' on activities early on Friday because we may have a fair number of people arriving that day?

On to more confusing aspects...

I'm 'feelin' this schedule right now:

T - Arrive & Drink Beer
F - AM Quick Drive, Afternoon Tech Chats & Car Judging
S - Big Drive, BBQ & Awards (no sit down dinner)
Su - Go home

Tech Chats I'm Thinking:
Me - Talk about welding & rust repair.
Eric Shea? - Talk about brake options/choices/what & when & why.
Dr. Evil - Talk about transmissions.
Andy - Talk about/demonstrator alignment by stings.

This will give time for people to do 'other stuff' on their own in they want. It's a simple outline style event where we only have a few things to do, but that helps it feel more relaxed, and not so crammed full.
McMark
So today we talked to a BBQ caterer and got a quote/estimate of $8 per person for Sat night BBQ. boldblue.gif

We also had a consensus that $50 per person and $30 for 'guests' would cover our expenses and give us some money for incidentals.

We will do shirts as pre-order and will offer std. 914World sweatshirts at the same time.

Brett is confirming with the hotel that we can have a private area on top of the parking garage, and make sure it's okay we BBQ up there. I suggested that if they say no for some reason, we should offer them some cash to let us do it.

I think the 'schedule' I posted above was pretty agreeable to everyone.

I think that was everything we talked about today.
McMark
idea.gif I probably have enough 'scrap' engine parts that I could build a motor in the parking lot. Not a motor to actually put in a car, but just a demo motor. idea.gif
ConeDodger
I concur with Mark's run down of the day's discussions. If everyone else does as well, I suggest we decide on how we want to collect funds and open registration.

The BBQ dude is willing to set up on the roof and act as a vendor on the days and evenings he is not catering, ie: Friday lunch and dinner, Saturday lunch. This provides a cheap alternative to people who don't want to eat in the restaurants in the hotels.
ConeDodger
Today's effort.

I contacted the following vendors

PMB Performance
EvilWerks
Engman Parts
JWest Engineering
Bruce Stone
Weidman Wheels

I asked the following people to do tech sessions

Eric Shea Brakes
Mike Lesniak Transmissions
Al or Harvey Weidman Wheels
Mark or Jake engine build

I had an idea about Type IV engine building. Mark mentioned building an engine as a tech session. What if - I have a kit coming for a NA Type IV of about 2.4 Liters in displacement. How about giving Jake a round trip Southworst Airlines ticket and a room? Mark is good and that could be considered an Original Customs sponsorship but Jake is a bigger draw and a more colorful character.

I envision a half day of tech sessions run all at the same time or split them half a day for two and the other half for two. Attendance is optional...

Someone needs to contact other sponsors. I think others might know Pelican, Performance, Morphenspectra, etc. better than I do.

Rob
McMark
I'll contact James/Morph.

Rob, I'd rather build something quick and dirty that I don't have to measure, cut, assemble custom length pushrods, or check torque specs, etc. If I'm gonna take time to build a motor up there, I'd rather just slap something together as more of an overview and have absolutely zero worries about it blowing up (since it'll never run).
jcd914
I was going to suggest we stick to a demo engine rather that something someone will try to use. Too many variables that are not controlable, wind picking up dirt/grit, rain/snow, "that guy" loosing it in your crankcase, etc....

I think something that can be slapped together and pulled apart or an extra left partailly assmbled would get a lot of attention.

All the tech stuff probably needs to be "dry" so we don't get the Hotel after us about "hazardouse waste" in their parking lot.
I have penty of parts I could bring for tech stuff.

Agreed. But I did get the extensive prep this time so there isn't supposed to be any measuring at all except torque...
ConeDodger
Bruce Stone has agreed to supply a couple rebuilt peddle sets. He will ship to my house.

We need to decide what to do with the swag as well... If we are careful, we don't need an auction. How about a drawing?

Anyone have a set of rebuilt core calipers they can donate? I think I can get Eric to rebuild them as a PMB Performance donation but he is hesitant as someone at the Ramble down South didn't quite publicize and possibly didn't even give away a set he donated to them...
biosurfer1
I think I have some rear calipers left over from after I bought mine from Eric.

I'll look tonight
jcd914
I have a couple of 4 piston Brembos off a 1991 F40 idea.gif Na they aren't a matched pair. sad.gif

I have at least 6 (probaly 8 or 10) 914 calipers in my shed, don't know that there is a rebuildable pair in the pile. I'll look and see what they amount to.

Where you think raffle or just a free drawing?

We should be very public about everything we get from vendors and whom it goes to.

Jim, I am thinking just free drawing. Take all of the names of all of the registered attendees and draw for the donated swag. I think we need to be very transparent or we will lose sponsors...
ConeDodger
I think we should announce and open registration. $50 + $30/ additional person in the party until April 15th. $60 + $35/ additional person in party until May 1st. $70 + $40/ additional person up to and at the event.
McMark
That works for me.

You should post a Thanks Sponsors thread in the Garage as well and add to it as people step up. That way vendors can see their publicity ASAP. I can also add sponsors to the banner ad.

Oh, and I think we'll be fine with a raffle this year.

Randy, How is the Targa Tahoe coming? Yopu has weighed in and says "if she is going to ride along" it should be no longer than 4 hours and have a stop for lunch and bathrooms in the middle... driving.gif

I called the hotel over the weekend and of course got some weekend manager who has no authority...I will call again today at lunch and hopefully get someone who do something for us.

Yep yep, no problem! I don't think it needs to be any longer than four hours and if it is I'll make sure there's a clear break-off point for those that want to go back earlier than others. I'll posted my route ideas before, but they may have been in old crusty posts. I'll make up some new routes this afternoon. smile.gif

Proposed schedule:

Thursday 6:14PM
Check-in is open and we begin gathering on the roof of the ramp. Opening BBQ starts serving at 7:14PM. BBQ is provided but not included. 8:14PM Keg tap and official kick off of the WCR 2010 Teeners in Thin Air

Friday 9:14AM Tech Sessions and car clean up. Breakfast on your own. Lunch BBQ provided but not included. 1:14PM to 4:14PM Peoples Choice Show and Shine. Dinner BBQ provided but not included. Keg opens at 8:14PM.

Saturday 9:14AM Targa Tahoe gathers on the ramp. Breakfast on your own. Lunch BBQ provided but not included. After Targa Tahoe stragglers return - pictures. 6:14PM BBQ on the roof provided by WCR 2010 Teeners in Thin Air Including Drawings for Sponsor Swag - Peoples Choice Car Show Awards. Keg opens at 8:14PM

Sunday is check out and return to civilization.

Alternative activities on your own include the following:

Fishing charters for groups of 4-9.
Excursion and Interpretive History Boat Trips on the Lake (Covered Cabin with Windows if you don't want to be on deck).
Golf on a world class PGA Course within walking distance of the hotel.
Gambling. Many hotels including the host hotel have world class casinos for you to try your chances and win or lose some cash.
Restaurants. The full range from 5Star to the lowest of bacteria holes.
Independent drives around Lake Tahoe. Takes all day and requires a stop for food but the view of the lake is breathtaking.
Photo opportunities. You can pretty much just keep tapping the shutter on your camera because the Lake and surrounding area are beautiful no matter which way you turn.
Zip Line Rides. One of the local ski resorts has a ride up on the chair lift and zip line down. We think this costs about $60 but it would be a heck of a thrill ride.

Proposal - Add to it, subtract from it, comment on it. We need to publish something and open registration soon.
jcd914
Maybe I am not remembering correctly but I don't think Andy (the BBQ guy) committed to being there in time Thursday to be cooking. I believe he said he would come up Thursday evening from Sac. He is a part owner/operator in a Motorcycle shop in Sac and will probably be working Thursday.
I'll call and talk with him and verify what his plans are.
I know I was planning on cooking for meals other than the Saturday Night provided meal.

Can you check that Jim? It isn't really that important but it does mean we have to edit Thursday to remove opening BBQ.
ConeDodger
I spoke with Jim last night and we can have a Thursday night BBQ without Andy in his opinion. I agree.

I think we need to get our schedule finalized and announce both registration and the schedule soon. Mark and I talked T-shirts as well on the phone today, our conclusion was that we should save on the cost by only having the logo on the front and no sponsors on the back. We can recognize our sponsors with banner ads in a thread where we thank them, show their donation, show their donation being awarded to the drawing winner and finally thank all of our generous sponsors. This gives them exposure to over 10K members and shows their product. It should satisfy them.
McMark
In past years, the vendors on the shirt donated significant cash to the kitty, not 'door prizes'.

I think the schedule looks good, but needs a little tweaking before we post it.

Mostly I'm wondering about all the BBQ. Not only is it a bit overwhelming for the participants (unless we have a lot of variety), but it may be hard to prepare for an unknown number of 'eaters'. Let's take a minute and think specifically about the logistics of every day BBQ. What do you guys think?
ConeDodger
Jim and I had a conversation about the BBQ situation yesterday. Andy is a 914 owner and wants to be a participant and not tied to his grill for the whole event. I was thinking it would be a good thing to have the BBQ as an option so people were not forced to eat in restaurants every day. Maybe we can make a grill available but not manned. Like turn it on at 12 noon and shut it off at 1 pm? Same in the evening. Or maybe we should just pull it out of the schedule? Andy is still on board for the Saturday evening BBQ...
McMark
I don't think we need to baby them that much. People are good at getting food. biggrin.gif I'm not saying I'm against bringing another BBQ if someone's got the space. I'm sure some people would use it.

I agree. Some are so cheap they will go out to the grocery store and keep groceries in coolers in their room. Give them a BBQ to use and they will be in heaven...
ConeDodger
Eric Shea has agreed to provide a set of front and rear calipers if we can scrounge up cores. I think Jim and Brett said they have some. I need a set of fronts and rears to send him.

That would be great. I think Jim has fronts and he only lives 8 blocks away. Chris Foley has signed on as a sponsor. He is struggling with the economy but I think he will get us some SS fuel line to give away.
jcd914
I have several pairs of calipers in my shed, most are fronts. I will pull some out to bring to the reunion on Saturday.

I talked with Andy (our BBQ cater) and he and his wife is coming up on Friday. Depending on what vehicle I end up driving I may bring his grill on Thursday so we would have it to do some thing simple Thursday evening. (brats, hot links, salad). He also thinks we could easily make the grill available as "self serve" some different times over the weekend.

Andy is a member here, jetboat80, and we could give him access to this forum so he could be part of the discussions. I am going to try to get him to the reunion on Saturday.

Here is the final schedule, unless I made some grave error. The only thing I'm holding off on is the Tech Sessions. I've PMd all the people we thought about using to see if that will all work out. We can go live with the info tomorrow, if nothing pops up.

Thursday Evening
Check-in is open and we begin gathering on the roof of the ramp. Keg tap and official kick off of the WCR 2010 Teeners in Thin Air.

Friday
Morning: optional short drive, tech sessions.
Afternoon: peoples choice show and shine.

Saturday
Morning: Targa Tahoe drive gathering on the ramp.
Evening: BBQ on the roof provided by WCR 2010 Teeners in Thin Air including raffle for sponsor donations, peoples choice car show awards.

Sunday
Check out and return to civilization.

Alternative local area activities include the following:

Looks good to me...I'm ready to go this week!
McMark
Eric is in for a brakes tech session, if he comes. Which he says, is 60% likely and he will try to firm that up soon.

Andy is in for an alignment tech session.

I am in for a rust repair or engine tech session. (I haven't decided).

Rob, is Al Weidman up for talking about wheel finishing. Can you solidify that?
jcd914
The schedule looks good to me.

Jim

ConeDodger
As we discussed on the phone today, it is Harvey Weidman and his brother is Al. Harvey is in for the tech session. Looks good to me...

Oh, based on our discussion a week or two back, I had asked them to change the artwork to say "Teeners at Tahoe". I thought that was what everyone had agreed on. Sorry.. Mostly sorry to the poor graphics person if you want to change it!!! blink.gif
